Office Manager
Our client located in Griffin, GA is looking to add a dependable, hard-working, compassionate Office Manager on a Full-Time basis to their permanent staff. If you love helping others and want to help your community, this is a great opportunity.
Location: Griffin, GA
Work Schedule: Full-time; 8:00 AM – 5:00 PM
Pay: $16-17/hour
Responsibilities
The purpose of the Office Manager is to have the knowledge and skills associated with essential leadership, setting direction, aligning people and motivating and inspiring. It is the expectation that staff have effective communication both orally and in writing.
Coordinates Office Duties
· Resolve office concerns in an effective manner.
· Take appropriate steps to resolve issues (such as appointment/scheduling conflict act.) prior to involving clinical supervisor and/or center director.
· Order supplies as needed with regard to budget.
· Ensure facility vehicles are up to date on monthly maintenance.
· Send in monthly vehicle reports to Fleet department.
Compliance with Health & Safety Regulations
· Initiate required fire (monthly) & safety drills (quarterly) and complete report (by the last day of the quarter).
· Maintain First-Aid and Spill Kits (complete quarterly report).
· Fire & Health Dept. inspections (to be completed yearly, due by 12/31)
· Fire extinguisher inspections (to be completed by the end of the year).
· Disaster drills (to be completed quarterly).
· Facility checklist (annually, due 12/31).
· Check heating/cooling systems (to be completed Fall and Spring).
· Notify Site Director when building or equipment repairs are needed.
· Assure functionality of fire extinguisher (monthly).
Management of Monthly Billing and Bank Deposits
· Codes bills monthly and submits for payment in timely manner to avoid late payments to administration.
· Keeps accurate records of monthly bills.
Peer Audit
· For the Agency conduct and complete quarterly peer audits in a timely manner on a minimum of 12 charts in an accurate and concise manner, ensure that all information from the audit tool is addressed.
Assure that services provided have proper authorizations.
· Maintain less than 10 write offs annually due to items within their control without progressive discipline consisting of coaching, written reprimand, suspension, or termination.
· Perform related duties as assigned by supervisor.
· Maintain compliance with all company policies and procedures.
Minimum Qualifications
· High school diploma or GED AND Two years of experience required at the lower-level Admin Support 3 or position equivalent. Must show ability to lead or supervise a team.
